Counsel-review draft. This document is tailored for FamilyCase.AI but must be reviewed by qualified counsel before publication or contractual reliance.

Purpose

Explain FamilyCase.AI's collection, use, disclosure, protection, retention, and rights handling for family-law SaaS data.

Scope

This Privacy Policy applies to FamilyCase.AI websites, applications, APIs, client portals, lawyer workspaces, command-center tools, support interactions, and related services. It does not replace a law firm's own professional obligations to clients, courts, regulators, or state bars.

Data We Process

FamilyCase.AI may process account information, firm and user profile data, matter metadata, client intake responses, uploaded evidence, documents, communications, financial records, calendar data, court-event metadata, audit records, usage telemetry, AI prompts and outputs, support records, and security logs. Some records may include sensitive personal information, information about minors, financial records, medical or mental-health references, privileged communications, and legal work product.

Role of FamilyCase.AI

For most hosted matter data, FamilyCase.AI acts as a service provider or processor to the subscribing law firm. The law firm remains responsible for determining the lawful basis, professional duties, client notices, and case strategy. FamilyCase.AI may act as an independent controller for limited business operations such as billing, security, fraud prevention, website analytics, and legal compliance.

Model Training

Customer data, uploaded evidence, legal documents, communications, privileged materials, and case materials are never used to train public foundation models. FamilyCase.AI will not permit third-party AI providers to use customer content to train public foundation models. Any product-improvement learning must be tenant-scoped, permissioned, de-identified or aggregated where appropriate, contractually controlled, and subject to customer configuration and legal review.

Use of Data

FamilyCase.AI uses data to provide the platform, authenticate users, enforce permissions, maintain tenant isolation, support document and evidence workflows, generate attorney-review drafts, preserve audit trails, monitor security, improve reliability, provide support, comply with legal obligations, and protect users, clients, children, evidence, firms, and FamilyCase.AI.

Disclosures

FamilyCase.AI may disclose data to authorized users within the customer tenant, subprocessors under written confidentiality and security obligations, payment and infrastructure providers, support vendors, legal and compliance advisors, and authorities when legally required. FamilyCase.AI does not sell case materials or privileged legal work product.

Security

FamilyCase.AI implements administrative, technical, and physical safeguards designed for sensitive legal data, including encryption in transit and at rest, tenant isolation, MFA support, RBAC/ABAC, policy-as-code authorization, audit logging, least privilege, secrets management, monitoring, backups, and incident response.

Retention and Deletion

Retention depends on customer configuration, legal holds, court obligations, audit requirements, evidence-preservation duties, billing records, security needs, and applicable law. Deletion requests are honored where legally and technically permissible and may be delayed where preservation, legal hold, court order, privilege, billing, security, or dispute obligations require retention.

Rights Requests

FamilyCase.AI supports access, correction, deletion, portability, objection, restriction, opt-out, and appeal workflows where required by applicable privacy law. Where FamilyCase.AI is a processor/service provider, requests should generally be directed to the law firm customer, and FamilyCase.AI will assist that customer.

Children and Minors

FamilyCase.AI handles information about children because family-law matters often involve child-related facts. FamilyCase.AI does not design client portals for unsupervised use by children under 13 without a dedicated COPPA review, verified parental consent workflow, and counsel-approved release.

Legal Review Required

This draft must be reviewed by qualified privacy counsel before publication, especially for state-specific privacy laws, professional-responsibility rules, international transfers, healthcare data, payment data, and child-directed features.

Non-Negotiable AI Training Commitment

Customer data, uploaded evidence, legal documents, communications, privileged materials, and case materials are never used to train public foundation models.
